Voter Information and FAQs

Eligible members can vote digitally via the online voting platform, by mail, or in-branch. You are eligible to vote if you met the following criteria on February 26, 2022:

  • You were 18 years or older.
  • You held the required minimum of five membership shares.
  • You were a member in good standing, i.e., not more than 90 days delinquent in any obligations to Coast Capital.

Regardless of the number of memberships you hold, you may cast only one ballot. If there are multiple members on a membership, each member must meet the required minimum of five membership shares requirement to be eligible to vote.

Voting packages containing ballots and information about the Board of Directors election, Special Resolutions and the Annual General and Special Meeting were mailed starting March 21, 2022 to all Coast Capital members eligible to vote. If you have multiple joint memberships, your election package will be mailed to an address provided on one of your joint memberships, which may not necessarily be your home address.

The maximum number of ballots mailed in a voting package is two. If you do not receive a ballot within four to five days of the mailing, you need an additional ballot for another eligible voting member, or if your ballot has been lost or destroyed, you can ask for another ballot to be mailed to you (see instructions below). Make your requests for extra ballots by Wednesday, April 13, 2022. Please note, Coast Capital branches will be closed April 9 to April 12, 2022 in order for us upgrade our banking system.

Corporations and partnerships may also vote in the election. Any person authorized by the corporation or partnership may complete the ballot (business members aren’t able to vote online at this time and must vote using their paper ballot). Business member ballots must have all requested information completed to be considered valid.

Eligible voters can cast their vote easily and securely on our online voting platform. Note: online voting is available only for personal members and sole proprietors. Business members must use their paper ballot to vote.

We’ve included two ballots in the voting package for any joint membership. If there are more than two members eligible to vote, or you have lost or misplaced your ballot, please call Computershare Contact Centre (a third-party vendor who will serve as our independent scrutineer) at 1-800-564-6253 (toll free North America) from Monday to Friday between the hours of 6:00 am to 3:00 pm PT, and one will be mailed to you. Please make your requests for additional ballots by Wednesday, April 13, 2022.

If you misplaced the 15 digit control number located on your ballot or user guide, please contact Computershare: 1-800-564-6253. Their Contact Centre is available for your questions regarding online voting from Monday to Friday between the hours of 6:00 am to 3:00 pm PT. If you require additional support obtaining your control number, contact the Office of the Assistant Corporate Secretary.

Coast Capital hires a professional, independent Returning Officer to oversee the election and ballot counting process. All ballots are returned to Computershare Investment Services (a third-party vendor who will serve as our independent scrutineer) under the supervision of the Returning Officer. Ballots are validated using the unique barcodes pre-assigned to voters. The paper ballots are scanned after the digital votes have been cross-referenced to eliminate any duplicate votes. After all ballots are scanned and digital votes tallied, the results are tabulated and provided to the Returning Officer.

No. However, if you are voting on behalf of a corporation, by filling in the ballot, you certify that you are authorized to vote on behalf of that corporation.

You can vote digitally via the online voting platform until 5:00 pm PT on Tuesday, April 19, 2022. Any mailed ballots must also be received by our Returning Officer or by Coast Capital by April 19, 2022 at 5:00 pm PT. Paper ballots must be received at our branches by close of business on April 19, 2022 (For local branch hours, visit coastcapitalsavings.com/contact/find-a-branch). Members can only vote once. If both a digital vote and a paper vote are submitted, the digital vote will be the one recorded and the duplicate paper vote will not be counted.​

The results of the election will be shared during our 2022 Annual General and Special Meeting (AGSM), and will afterwards be posted on our website.

As the situation with COVID-19 continues to evolve and to ensure the health and well-being of our members and employees, we will be hosting our AGSM virtually. We are asking members to join our virtual AGSM remotely by logging into our AGSM at 4:30 pm PT on April 28, 2022. To join our virtual meeting, you will need your unique 15-digit control number. The control number is a unique code and assigned to each eligible member. This can be located on your ballot, or on the document titled “How to Join Coast Capital’s Virtual Annual General and Special Meeting” that was in your package. Here is an example of the information that was included in your elections material. Please note that the unique 15-digit control number will be different for each eligible member.

The results of the election will be shared during our 2020 Annual General Meeting (AGM), and will afterwards be posted on our website.

To comply with the latest public health mitigation measures relating to COVID-19 established by provincial and federal authorities, including the orders from the B.C. provincial health officer restricting large social gatherings, Coast Capital’s 2020 AGM will be held as a virtual event.

We are asking members to view the AGM remotely by tuning in to the live stream of our AGM at 4:30 pm PST on May 14, 2020. The live webcast of our AGM will be able to be viewed at coastcapitalsavings.com/election.
